How to Use DockSpare
DockSpare connects yachts with verified marine suppliers — from quote request to delivery and invoice.
Getting started
There are two kinds of account. What you see in the app depends on which one you sign up for.
Yacht Your account
Owners, captains, engineers, pursers, chefs and crew. Find suppliers, request quotes, place orders and track deliveries to your berth.
Supplier Your account
Marine businesses supplying fuel, parts, maintenance, cleaning, uniforms or consumables. List what you offer, receive requests, and send formal quotes.
Not sure which applies? If you're buying for a vessel, choose Yacht. If you're selling goods or services to vessels, choose Supplier.

Choose your account type
Pick Yacht / Vessel or Supplier. This decides which tools you get, so choose the one that matches how you'll use DockSpare.

Tell us about you
Yacht: select your role onboard — captain, chief engineer, purser, chief stewardess, chef, fleet or yacht manager, and others. This tailors your dashboard and the suppliers we recommend.
Supplier: enter your company name and tick every service category you cover. Add your country and home port, then list the ports or regions you serve and any service tags (for example "Engine Repair" or "Starlink") — these are what yachts search against, so be generous.

Set up your login
Enter your name, email and a password of at least 6 characters. Yacht accounts can also record vessel name, home port, flag registry and IMO number.
Two things worth getting right first time: your IMO number is locked once saved and can't be edited afterwards. Everything else — including your categories, ports and service tags — can be changed any time from Edit Profile.
New accounts start pending verification. You can sign in and set up your profile right away, but yacht accounts can't send RFQs or place orders — and supplier accounts can't submit quotes — until DockSpare verifies the account. A banner at the top of the page tells you if you're still pending; it clears automatically once you're verified.

Two ways to buy: order from one supplier, or send the same request to several at once (RFQ).
Ordering from a single supplier

Find what you need
Use Browse Suppliers to filter by port, country or category — you can select several categories at once to widen the net. Or use Search Products to search every supplier's catalog together. As well as product names, it searches brand, manufacturer part number and barcode, so you can type the code straight off the part — dashes, spaces and capitals are ignored. An exact code match is pulled to the top and flagged, so you know you've got the right part. Click any product's name or photo to open its own page — full description, part number, barcode and supplier details in one place.

Build your order
On the supplier's page, click products to add them and set quantities. Watch the minimum order quantity on each item. Your running total shows in the order panel.

Need something not in the catalog? Use + Item Request
Describe the item and optionally add a manufacturer part number. It's added to your order with the price marked TBD and pinned to the top of the list with a badge, so it won't get lost among the catalog items. The supplier fills in the price when they quote.

Set delivery date and notes
Add your requested delivery date and any instructions (berth number, access details), then click Place Order Request. All dates display as dd/mm/yyyy.

Review the offer
When the supplier responds, the order moves to Offer. Open it to see their line-item pricing, then use View Attached Offer to read the official quote document. You can accept it, decline it back to Pending, or cancel the order.

Track and confirm
Follow progress on the order page. Once the supplier marks it Delivered, click Confirm Receipt to complete the order — then leave a star rating and review.

Create RFQ
Use Create RFQ in the top nav to list the items you need, pick multiple suppliers, and send them all the same request in one go. Each supplier replies with their own offer, and you compare and accept the best one. On the Orders page, turn on Group RFQ batches to see the replies side by side. As you type an item, matching products already in a selected supplier's catalog appear in a dropdown — picking one fills in the part number for you.
Mark time-sensitive requests as Urgent or Critical. Set the priority when creating an RFQ and it stays visible everywhere the order shows up — a highlighted card and badge on the Orders list, in the order's own page, and in the supplier's notification.
Offers can expire. Suppliers set a validity date on each quote. Once that date passes, the offer automatically moves to Expired and can no longer be accepted — you'll get a notification when that happens.
Tracking what you spend
Analytics
Spend is counted from the moment you accept an offer — an unaccepted quote never shows as spend. Analytics in the top nav breaks it down by month, supplier, vessel and category, and shows an RFQ Savings panel: what tendering to multiple suppliers actually saved you versus taking the highest or an average quote. Filter by date range or category, and export the underlying orders to CSV.

Keep a catalog so yachts can order directly, then quote the requests that come in.

Build your catalog
Go to My Catalog to add items with a name, price and unit. Tick every category that applies — an item can sit in more than one, and it appears under each. Tick Private to keep an item out of yacht-facing search and your public page — useful for internal fees you only add during quoting.

Add part numbers, barcodes and photos
Each item can carry a brand, manufacturer part number and barcode/EAN. Crew very often search by the code printed on the part rather than its name, so filling these in is the single best way to get found — punctuation and capitals don't matter, 1R-0750 and 1r0750 both match. You can also attach a product image and a description — specs, compatibility, condition, lead time; both show on the item's own product page. Use the button on any item to preview it exactly as a buyer sees it — from there, Edit Product lets you update everything about that item without leaving the page.

Open incoming requests
Orders lists everything sent to you. Anything marked Action needed is waiting on you. Your dashboard also shows pending requests at a glance.

Price the order
While an order is Pending, every line has an editable price field — including Item Requests, which arrive unpriced at €0.00 and need a figure from you. The total updates as you type.

Adjust the contents
Use Add Cost for delivery, callout or handling charges — you can pick from your own catalog to autofill the price — or remove lines you can't supply with the button. Every change is posted to the order chat so the client can see it.

Send the offer
Click Upload & Send Offer, set the validity date, and attach your official quote (PDF, Word or Excel, under 2MB). The order moves to Offer and the client is notified.

Fulfil the order
Once accepted, click Start — Mark In Progress (you can attach a note), set an expected delivery date to keep the client updated, then Mark as Delivered. The client confirms receipt to close it out.
Declining: if you can't fulfil a request, use Decline Request — a reason is required and gets posted to the chat so the client knows why.
Tracking your sales
Sales Analytics
Revenue counts from the moment a client accepts your offer, not from when you send the quote. Sales in the top nav shows revenue by month, client and category, plus your quote win rate — how many of your quotes convert, and the value of what you won vs. lost. Filter by date range or category, and export the underlying orders to CSV.

Request sent. The supplier is preparing a quote and can still edit prices and line items.

The supplier has priced the order and attached a quote. Waiting on the client to accept.

Accepted
The client accepted. The supplier prepares the goods or schedules the work.

Work or shipping under way. The supplier can set an expected delivery date here.

Delivered
The supplier has delivered. Waiting on the client to confirm receipt.

Completed
Done. The client can now leave a rating and review.
Two orders end outside this flow: Cancelled when either side calls it off, and Expired when an offer passes its validity date before being accepted.
Other features
Order chat
Every order has a message thread shared by both sides. Price changes, added costs and date updates are posted automatically.
Notifications
The bell in the top bar collects new messages, status changes and expiring offers. Click one to jump to the order.
Favorites
Star suppliers and products to pin them to your dashboard for quick reordering.
Invoices & exports
Each order generates an invoice you can print or save as PDF. The Orders page also exports your filtered list to CSV.
Filtering & sorting
Filter orders by status, date range, supplier or vessel, and sort by date, value, expiry or status. Active filters show as chips you can clear individually. When browsing suppliers or products you can tick multiple categories at once — results include anything matching any of them.
Light & dark theme
Toggle with the sun/moon button in the top bar. Your choice is remembered.
Verified suppliers
A Verified badge means our team has checked the business behind the listing. Suppliers without it can still trade — they simply haven't completed verification yet.
Your profile
Update your details, password, and (for suppliers) categories, ports, service tags and your company logo from Edit Profile. Keeping service areas current is what gets you found in search. A logo is optional and shows wherever your listing appears — search results, order cards, your public page — falling back to your badge emoji until you add one. Changing your email sends a confirmation link to the new address — it doesn't take effect until you click it, so keep signing in with your old email until you do.
Closing your account
Request deletion from the bottom of your profile page. Our team reviews the request; once approved your data is archived and access ends.
